Terms and Conditions of Service

1. DEFINITIONS

The following terms have these specific meanings:

'meeting package(s)’ refers to the packaged meeting services marketed and sold by MeetingsGo Ltd on behalf of its partners. A meeting package will include a meeting space, and may incorporate food and beverages, and equipment.

‘MeetingsGo.com’ or ‘the platform’ is a website solely owned and operated by MeetingsGo Ltd.

‘MeetingsGo Ltd’ refers to the assets, affiliates, directors, employees, or other representatives employed, engaged, leased or owned by MeetingsGo Ltd.

partner(s)’ or ‘venue(s)’ refers to MeetingsGo Ltd’s various partners who provide the meeting packages and related services.

'we', 'us' or 'our' refer to MeetingsGo Ltd and its affiliates, directors, employees or other representatives.

'you', 'your', ‘guest(s)’, ‘party’ or ‘user(s)’ refer to a potential or actual purchasers or beneficiaries of a meeting package.

2.INTRODUCTION

MeetingsGo.com is owned and operated by MeetingsGo Ltd, a company registered in Kenya. We offer a service through which users of the platform can search for, and book, a meeting package with our partners.

3. APPLICATION OF THESE TERMS OF USE

These Terms and Conditions together with our Privacy Policy apply to your use of the platform. We may alter these Terms and Conditions and the Privacy Policy at any time and at our sole discretion, without notice to you, and you agree to be bound by the current version. If you have accepted these Terms and Conditions in respect of a particular booking, the version that you accepted at the time of booking will continue to apply insofar as they relate to that booking.

4. ACCESSING THE PLATFORM

We do not warrant that you will have access to the platform at all times, that the platform will be provided free of faults, or that the platform or the server(s) from which it is made available does not contain viruses or other harmful components. We may suspend, withdraw, discontinue or change all or any part of the platform without notice. We will not be liable to you if for any reason the platform is unavailable at any time or for any period, and we reserve the right to suspend or terminate your access to and use of the platform for any reason.

5. ACCURACY OF AND RESPONSIBILITY FOR INFORMATION

The particulars relating to meeting packages are provided by our partners, and displayed on their behalf. MeetingsGo.com is not responsible for the validity of the details relating to meeting packages or venues, and we do not have any authority to make or give representations or warranties in relation to such. We do not represent nor warrant that the information accessible via the platform is accurate, complete or current. Users should not rely on them as statements or representations of facts.

Notwithstanding, we take care to ensure that information and prices published on the platform are accurate. If we identify an error or omission following publication, we will inform you prior to confirming your booking and the revised information will then form part of your contract with the venue. If an error or omission is discovered after your booking is made, we will always try to advise you prior to your visit.

Whilst we aspire to provide a flawless service, human error may arise with regards to the verbal information communicated to you. As such, these Terms and Conditions will always take precedence over any contradicting verbal information communicated to you.

6. CONTRACT WITH THE VENUE

MeetingsGo Ltd acts as a sales and marketing agent for our partners with fulfilment being undertaken by our partners. When you book a meeting package through the platform you will be entering a contract with the relevant partner which will be formed as follows:

  • When you submit a booking for a meeting package, you will be making an offer to book that meeting package as per the terms set out on the platform at the time of booking;
  • Should the booking is accepted by the partner and upon our receipt of your payment, we will issue you with a Booking Confirmation via email on behalf of the venue, outlining the services to be provided. The issuance of the Booking Confirmation constitutes acceptance of your offer.

MeetingsGo Ltd bears no liability to you in respect of the performance of the partner under contract. Any claim you have against a venue should therefore be brought against the venue directly.

7. BOOKING CONFIRMATION

Please check the Booking Confirmation carefully to ensure that the booking details are correct. If any of the details included in your Booking Confirmation appear to be incorrect or incomplete, please contact us and we will endeavour to make the required changes. We will not accept liability for any errors and omissions that are not highlighted to us prior to your arrival at the venue, and the guest remains responsible for any additional costs or changes that occur as a result.

Please take a copy of your Booking Confirmation with you to the venue as proof of purchase and confirmation of the services to be provided. If you cannot provide this document, you run the risk of not being able to participate in your meeting package, or the venue may demand payment again. Please note, all extras good or services consumed at the venue, such as additional amenities, food and beverages, entertainment, transport etc., must be paid for at the venue.

Please arrive at the venue before the scheduled start time of your meeting package. Arriving late may prevent you from participating in all elements of your booked meeting package.

All bookings will be subject to the venue's terms & conditions whilst at the venue.

8. DESCRIPTIONS OF MEETING PACKAGES AND VENUES PUBLISHED ON MEETINGSGO.COM

The descriptions of the meeting packages and venues published on the platform are based on observations from our visits of the venues and the views of our partners. We cannot to guarantee the availability of all the components of a booked meeting package, and it is possible that an advertised amenity may be withdrawn or changed for various reasons such as renovation works, breakdown, repairs etc. We will advise you if we become aware of a major change, however, we will not accept liability for any loss of enjoyment, damage or inconvenience in such circumstances. Please note that the photos published on the platform may display meeting spaces and amenities that are not included in your booked meeting package.

All guests are prompted to carefully review the venue description for their booked meeting package on the platform, and on partners’ websites, to ensure they are familiar with the facilities and suitability of the services provided by the venue. We will not accept responsibility for any expectations or requirements of facilities that are not published on the platform.

9. PRICES PUBLISHED ON MEETINGSGO.COM

All prices published on the platform are denominated in Kenyan Shillings, and are 'from prices' (lowest potential price). The constituents of the price include the rental cost of a meeting space (priced on a ‘per hour/partial day/full day’ basis), the cost of food and beverages (priced on a ‘per person’ basis), and the rental cost of equipment (priced on a ‘per item’ basis). All prices are subject to change depending on availability. If we are informed that a price adjustment is required in the process of booking your meeting package, we will inform you of this change prior to finalising your booking. Price adjustments that occur after a booking has been completed will not impact upon the price of a completed booking.

10. PAYMENT TERMS

Full payment is due at the time of booking.

11. ACCEPTED FORMS OF PAYMENTS

MeetingsGo.com accepts the following forms of payment:

  1. M-Pesa
  2. Debit/Credit Card
  3. Bank Transfer

Third party payment processing fees may apply.

12. CANCELLATIONS AND REFUNDS

If you cancel a booked meeting package, you will be eligible to receive a refund in accordance with the below cancellation policy:

8 days – 30 days 80% refund, less applicable transaction charges

A reduction in the number of booked guests will result in a loss of monies paid.

Should a partner inform us that they have rescheduled or cancelled your booked meeting package, we will contact you with the aim to provide a comparable alternative date/time or meeting package offered by the same venue, that satisfies your requirements. If an agreeable alternative cannot be provided, you will be refunded the full cost of the meeting package.

If for any reason you do not turn up for your booked meeting package, you forfeit the entire cost of the experience.

All booked meeting packages are subject to MeetingsGo.com’s cancellation policy; partners’ cancellation policies will not apply.

13. MEDICAL, DIETARY AND OTHER SPECIAL REQUIRMENTS

Please notify us of any relevant medical conditions that affect you or your party at the time of the booking. Guests should also inform a representative at the venue of any medical conditions likely to affect them upon arrival.

For meeting packages that include food and beverages, please advise us of any special dietary requirements at the time of booking. Whilst we are happy to inform the venue of these requirements, we cannot guarantee that they will be accommodated. It is strongly recommended that such requirements also be communicated upon arrival at the venue.

14. LIABILITY AND COMPLAINTS PROCEDURE

MeetingsGo Ltd provides the platform and its contents on an “as is” basis, and makes no representations or warranties of merchantability and fitness for a particular purpose of the meeting packages displayed on the platform. Whilst we make every effort to monitor the quality of service provided by our partners, we cannot provide any warranty or guarantee regarding venues’ performance, safety standards or legal status. Any liability incurred by a guest or third party caused by the venue’s negligence is the responsibility of the venue and not MeetingsGo Ltd. MeetingsGo Ltd shall not be liable for the personal injury or death of a guest or third party, while participating in any meeting package or activity provided by, or whilst at, the venue. Furthermore, MeetingsGo Ltd shall bear no liability for damage to property, consequential loss or expenses suffered, which includes but is not limited to loss of anticipated earnings, profits, goodwill, reputation, business receipts or contracts, losses or expenses, resulting in third party claims.

If you have a complaint or experience any problems at the venue, please bring it to the attention of the relevant supervisor at the venue immediately. Depending on the nature of your complaint, we recommend that you also speak to the General Manager. If you do not reach an acceptable resolution to your complaint, please notify us via email within two weeks.

It may take up to 7 days from the date of receipt for us to provide a response. Please note that any assistance provided in resolving a complaint raised in respect of your meeting package is provided on a goodwill basis. It will always remain the responsibility of the venue to agree and accept liability if appropriate, and to provide any concession or refund as they see fit.

If you have a complaint regarding the quality of service provided to you by MeetingsGo.com, please notify us via the above email address, within two weeks after your booked meeting package. If we are found to have been at fault in relation to the service that we have provided, our maximum liability to you is limited to cost of your booking.

You accept full liability to the venue for any expenditure incurred as a result of you leaving the venue or any of its equipment in disrepair or in an unreasonable state of cleanliness, or for any other damage your party causes whilst at the venue.

15. FORCE MAJEURE

Neither we, nor our partners, will be liable for cancellations or expenses incurred due to unusual and unforeseeable circumstances beyond our control including, but not limited to, war or threat of war, riots, civil unrest, terrorist activity, industrial disputes, natural disaster, fire or adverse weather conditions, and other Acts of God or events beyond our control.

16. APPLICABLE LAW

These terms and conditions are subject to the laws of Kenya. Nothing in these terms and conditions affects your, our, or our partners’ statutory rights.

17. PRIVACY POLICY

We process personal information obtained from you in accordance with our Privacy Policy. By using the platform, you consent that the processing of your personal information will be subject to this policy.
